If you are using your own vehicle to travel to Haliburton for your project, you will be reimbursed for the gas that it takes to travel to and from the County for up to four visits. Simply submit your receipts and we'll send you a cheque. You can save up your receipts or mail them to U-Links one at a time, whatever works best for you.
If you do not own a vehicle, U-Links will rent a vehicle for you (up to four times; after that, it is up to you to work out with your host organization). U-Links has an agreement with Enterprise rent-a-car and will make the arrangements for the vehicle. U-Links requires two days' notice for a rental to be arranged. Keep in mind that the U-Links office is not always staffed on Thursdays or Fridays. Please read below for the rental process and more information.
Directions to Haliburton and Minden are included in your Student Package, and further directions will be provided to you based on the area of the county that you are doing your placement in. Always carry the phone number for U-Links (1-877-527-2411 or 286-2411 when in the area) with you as well as the phone number for the Host organization in case you need to call ahead, e.g. if you get lost or held up and are going to arrive late, you have car trouble, or experience other problems.
Rental Vehicles
U-Links Insurance Authorization Form & Vehicle Use Agreement
In order for U-Links to authorize a rental vehicle for you, you must complete a Insurance Authorization (IA) Form and a Vehicle Use Agreement (VUA) - both of these forms are very simple and straightforward. The IA form need only be filled out once and is kept on file at U-Links. The VUA must be completed every time you are in need of a rental vehicle as this provides Enterprise with authorization for the rental and also indicates your understanding of the terms and conditions involved in the agreement between yourself and U-Links. A signed copy of each form will be faxed to the TCCBE office for you to pick up and take with you to the rental car company. Call the TCCBE office before you make a trip there to make sure that someone is there to help you (743-0523).
Take the Vehicle Use Agreement form with you to the rental company - if you don't present it when you pick up the car, they either won't rent it to you or you may not get reimbursed.. You will also need to provide proof of liability insurance by bringing your pink insurance form with you when renting a vehicle.

Once U-Links has made arrangements for the rental vehicle, you can contact Enterprise to make arrangements for a pick-up. Enterprise will come to your house or up to the University to pick you up, take you back to their office and complete the paper work necessary for the rental. Remember to allow time for this when planning your trip.
You are required to pay up front for the rental and U-Links will reimburse you once you've handed in your receipt. If you are unable to pay for the vehicle up front, please inform U-Links as soon as possible and alternate arrangements can be made. You must keep your receipts for the rental car and re-fueling and submit them to U-Links in order to be reimbursed. You can either mail receipts to U-Links or drop them off at the TCCBE.
Emergency Kit
There is an emergency kit - including a cellular phone - at the TCCBE that you can take with you when you pick up your Vehicle Use Agreement. It's important to have the phone with you in case you get stuck somewhere along the way. It's also important to return this kit to the TCCBE asap after you arrive back in Peterborough as other students may be traveling soon after you and will need it for their own safety.
Reporting Accidents and Problems
In the event of any accident or incident involving the rental vehicle, you must contact Enterprise right away. Failure to do so may result in you being held responsible for the cost of any damages (Please read the Vehicle Use Agreement and the rental document that you sign with Enterprise for more information). U-Links is concerned about your safety and asks that you inform us of any problems with vehicles or situations associated with the rental that you feel uncomfortable with. Have a safe trip!!
